This is an outline of the duties and responsibilities work studies are expected to follow.   This document may be revised.  Please read and acknowledge receipt of it before beginning work.  

 

I -  Communications    

1.                  It is essential to maintain communications with your supervisor.  All work studies should provide local, cell phone and email addresses.  The supervisor will also provide contact information.                 

2.                  Since much of the communications will be through emails, it is important that you check your email at least daily and respond to emails within 24 hours.          

3.                  If you are unable to contact the supervisor via email, please try phone numbers provided.                                        

 

II -  Work schedule and hours     

1.                  Employment requirements include agreed upon weekly and pay period hourly minimums.            

2.               Work schedules are submitted for approval at the beginning of each semester.  Proposed schedules must reflect that minimum.   Make sure that you are available to work in the office on the proposed days and times.         

3.         At a meeting with the supervisor the proposed schedule will be reviewed.  Appropriate changes to days, time of day to be worked, or the number of hours of work, may be made based on the needs of the project and the work study's schedule.           

4.         After consultation and approval, scheduled hours and or minimum hourly requirements are expected to be adhered to throughout the semester unless agreed to be amended with prior notice.         

5.         If circumstances warrant schedule changes, they must be made in consultation with and approval by the supervisor.          

6.                Inform supervisor when unable to work, meet a deadline, or be available for work before absence.   This is especially important when there are agreed upon tasks and when there are conferences or other important matters impacting work.            

7.              If unable to inform supervisor prior to absence from scheduled work, please contact as soon as possible.                   

8.           You may make up hours from one week to the other within a pay period as long as you inform the supervisor beforehand.  If you need to make up time from one period to the other, you must record time in the appropriate pay period.  Please inform the supervisor and record the information in the time sheets.   Please maintain weekly hourly minimum.  

9.         Not meeting minimum hourly weekly or period requirements without prior approvals may lead to disciplinary actions.      

10.       Making up missed time should be limited to emergencies or to accommodate school responsibilities.  Over use of this may result in disciplinary actions.                       

11.      You must adhere to the time sheet submittal schedule given out by supervisor.        

 

III -  Room and computer access and use                      

1.                Access the computers and room in the manner described in the verbal and written instructions provided to you.   

2.         Record the use of Everglades room key from circulation desk in the log maintained there.         

3.               Do not allow access to the room to anyone other than co-workers.           

4.               Immediately inform supervisor or law school personnel if unauthorized persons access the room.                       

5.             Log into the network with the user and password provided.  

6.           Log into FrontPage with the user and password provided.  

7.            Do not change passwords provided.    

8.           Do not share or exchange log in information with any one.            

9.          Immediately inform supervisor if your log in information has been compromised.           

10.        Use of the facilities is restricted to work related to your employment.  Please refrain from using facilities for personal or your academic use.   

11.      Occasionally audits may be performed regarding the use of computer facilities.   These audits may reveal what computer users perform on university computer hardware and software, including but not limited to the tracking of web sites visited.   Please do not use university equipment, or record time, to "surf the web," on unrelated work matters.  Discovery of this may lead to disciplinary actions.    Continued abuses will lead to termination.  Use common sense when using the facilities.                                                 

 

IV -  Performing tasks             

There are a variety of tasks with a wide range range of difficulty available to work studies in this project.  Most work studies are prepared for their responsibilities with online and personal software training in html and frontpage.  Additional training in other software is also available as the needs arise.  

All future tasks are introduced with sufficient training and documentation so that the work study may adequately accomplish the assignment(s).  Tasks are assigned based on the work study's abilities and desire to learn.  

1.                Tasks are communicated verbally and in writing via email and by postings on assignment sheets.  Details on how to perform tasks and their completion dates are communicated by the supervisor.   

2.         Please update the assignments sheet if the project is categorized there.  Include sufficient details in the work sheets.  Article postings are to be recorded in the time sheets.   

3.        Whenever possible, performance metrics are communicated.  Due dates and other  expectations are also indicated to the work study.  Adjustments are made where  feasible.                  

4.         Regular evaluations will assist communicating performance to the work study.  It is the responsibility of the work study to contact the supervisor if there are problems in completing tasks and any other performance issues.                                     

5.                The supervisor will inform the work study if there are issues with performance.  In the meeting the problems will be discussed.  Based on the nature of the issue, changes may be made to the assignment, performance metrics adjusted, deadlines extended, or tasks re-assigned.                      

6.                The nature of most duties require close attention to detail.  It is also important when working in frontpage that you take care with files, their movement and avoid inadvertent deletions.  Please be aware of the consequences of seemingly innocuous actions.   

7.                Immediately inform supervisor if you delete, destroy, lose, or otherwise impair any hard copy of electronic file.   The consequences of waiting and attempting to repair or restore a file or directory alone are greater than receiving help from knowledgeable staff.  While mistakes are not encouraged or ignored, they are part of the learning process and are understandable in most circumstances.  Hiding mistakes is not acceptable and may cause greater problems.                           

8.                 Carefully review your work.  Review spelling, line breaks, make sure links work and that changes appear on the browser.  Review all the documentary materials provided.  Most duties are assigned based after proper training and evaluation.                        

9.               Inform supervisor if you have difficulty performing a task or do not understand instructions.   If you are not able to meet a dead line or perform your work, please contact your supervisor as soon as possible.                    

10.         If you are not able to contact the supervisor, you should call the law school help desk at x3000, for software and network problems (not everglades related work or questions).          

 

V -  Recording work and time sheet submittal 

1.                  Record your work in the relevant work sheet as soon as you perform the work.  See sample work sheet.   Doing this will keep the required details fresh and help you accurately account for your time.  

2.                 Finalize work-study time sheets in FrontPage in the manner described in the  instructions.                   

3.                  Finalize work-study time sheets by the posted due dates.       

4.                  Review time sheet information carefully, e.g., date, hours and time worked, total hour, etc., 

5.                  Time sheets should include sufficient detail to substantiate hours submitted.

VII -  Disciplinary actions

Failure to adhere to these basic guidelines, including failure to perform tasks, to review work, and to perform work in a timely manner may lead to these steps:

 

1.                  Supervisor will inform the work study of the problem thru an email or in person.               

2.                  If the issue continues, supervisor will meet with the work-study to determine what can be done to resolve the issue and to provide guidance, goals and a timetable for improvement.   

3.                  If the same issue continues, a written warning will be issued at a meeting where the supervisor will outline the problems and provide a time table in which the problem is to be corrected.     

4.                  If the timetable goals are not met, a final warning will be issued.  

5.         Continued problems after the final notice is issued will result in termination. 

      6.         Insubordination and illegal actions will result in immediate termination. 

 

Unless there are serious deficiencies or problems, you will normally receive feed back as your work progresses.
